Does the FTC Safeguards Rule apply to me?
If you prepare tax returns, yes: the rule names accountants and tax preparers who complete returns. For bookkeepers and fractional CFOs, it depends on your services and clients, so ask your adviser. Firms with under 5,000 consumers skip a few parts, not the written plan.
What does line 11 on the PTIN form mean?
Form W-12 asks whether you’re aware that paid preparers are required by law to create and maintain a written information security plan. It’s a yes or no question, and the IRS doesn’t ask you to send the plan. The duty behind it comes from the FTC Safeguards Rule.
Does Rio make me compliant?
No, and no router can. Your plan covers people, policies, logins, encryption and more. Rio handles the network part, and Rio for Tax Pros writes that part up for you and lays out the rest so you can see what’s still on you.
What does the IRS sample plan say about my network?
IRS Publication 5708 asks for a firewall between the internet and your private network, strong encryption and a password on firm Wi-Fi, guest Wi-Fi on a different network, and a security review before new devices join. Rio covers the firewall, the guest network and device approval. Rio’s Wi-Fi is WPA2; Publication 4557 suggests WPA3.
Should I switch routers before tax season?
Yes, do it now rather than in March. Setup takes about 30 minutes behind your current modem, and priority support is included. You also get 30-day returns and a free replacement in year one.
What if client data is stolen?
Contact your IRS Stakeholder Liaison right away. IRS e-file providers must report a security incident no later than the next business day. If the FTC rule covers you and 500 or more consumers are affected, tell the FTC as soon as possible, and no later than 30 days after you find it. The kit’s leak plan walks you through each step.
What does it cost?
$599, one time: the router, the kit and 2 years of Rio VPN. After that, Rio VPN is optional at $7.99 a month. Free shipping, 30-day returns and a 1-year warranty with a free replacement in year one.
